We are looking for a dynamic individual to provide administrative support to DWT's diversity & inclusion initiatives. The ideal candidate is curious, enthusiastic, outgoing, and driven with an outstanding service focus and sense of urgency to achieve results. They would exhibit strong intellectual curiosity and demonstrate a passion for process improvement and excellent project management capabilities as well as an adaptability and willingness to work together with different personalities in order to move firm initiatives forward in an efficient, diplomatic manner.
Provide administrative support to the Diversity & Inclusion (D&I) Committee and affinity groups by arranging meetings, calendar notices, catering and A/V needs; maintaining member lists; drafting meeting minutes; printing and circulating agendas.
Handle D&I administrative functions, including scheduling conference calls and meetings, maintaining roster of sponsorships, coordinating registrations and guest lists between DWT attorneys and external organizations, maintaining firm wide diversity events calendar, processing invoices, and preparing expense reports.
Track and monitor accurate budget spend and requests.
Maintain intranet web pages for affinity groups and the D&I Committee with accurate news and information and coordinate with marketing/website team to ensure external website content is current and accurate.
Provide administrative and logistical support for events and programs hosted by affinity groups and the D&I Committee, such as internal trainings and workshops, networking mixers, and attorney development programs.
As requested, collect and prepare diversity-related statistical information for surveys, RFPs, and other similar attorney requests.
Create PowerPoint slides illustrating statistical trends and other diversity-related information for presentations to and by the D&I Committee.
Monitor daily news sources, studies, and other external publications for news and developments that are relevant to the D&I Committee's goals and progress and relaying important, timely information to colleagues.
Coordinate Path to Partnership initiative by identifying attorney pool, coordinating with practice group chairs, scheduling meetings, distributing meeting materials and tracking results.
Collaborate with the Attorney Recruiting and Practice Management Departments to coordinate lateral attorney integration priorities and efforts.
Support lateral attorney integration and retention by making and tracking mentor and peer liaison relationships.
Maintain communications between Professional Development, HR, Accounting and IST departments to ensure critical data and other information is shared and provided in support of department and firm needs.
Assist in coordinating department projects, including, but not limited to: performance management; career development planning; mentoring; lateral integration; coaching; and user dashboards, using the viDesktop suite of programs.
Collaborate with team members to improve current programs and processes, including Path to Partnership, lateral integration, practice development plans, mentoring, etc.
Assist with various projects as necessary, including surveys, researching and analyzing internal and external data and trends.
Create and update internal internet/portal pages as needed.
THE SUCCESSFUL CANDIDATE:
2+ years' experience providing administrative support required; experience in a law firm, agency or professional services organization a plus.
Demonstrated proficiency with the full suite of MS Office products, with particular strength in manipulating data in Excel.
Excellent communications skills, both verbal and written, with all levels of a professional services organization.
Exceptional interpersonal and customer service skills to respond to a diverse user group required.
Ability to handle stressful situations in a calm, composed manner.
Demonstrated strong attention to detail and the ability to prioritize and work well in an environment with constant changes.
Ability to work with highly confidential information.
Ability to take initiative in a fast-paced environment and work under pressure to meet deadlines.
Superior organizational skills.
Ability to analyze problems and propose solutions with a focus on results.
Ability to work independently while also working as a strong team player.
Demonstrated experience with data management software.
