Performs dedicated secretarial and administrative duties for a VP or SVP. Work requires some analysis and use of initiative and independent judgment. Requires knowledge of corporate policy. Often called upon to interpret and communicate an executive's intent to other managers. May make contacts of a sensitive, complex, and confidential nature. Work under minimal supervision on complex projects and may assist less experienced peers.
What you’ll do in your role.
Support senior leader by performing advanced-level administrative work of complex nature including planning, coordinating, prioritizing, and producing work that requires a high level of discretion and confidentiality.
Handle executive’s schedule, arranging appointments, travel, meetings, conference calls, etc.
Execute special or continuous research and data analysis tasks. Analyze problems, resolve approach, compile, and analyze data and prepare reports and recommendations.
Coordinate activities between departments and outside parties. Contact company personnel at all organizational levels to assemble information for supported leader’s and organizations.
May communicate on behalf of executive, be able to determine most appropriate method of communication by assessing situation and applying judgement.
Manages facilities for the department including seating and space requirements and works with facilities to plan for changes.
Handles office supplies for the team and reviews purchases for team supplies/events to ensure spend is appropriate
Coordinates on-site activities like large meeting events, handling of external visitors, facilities issues, and is a resource for answering facility/logistical questions from the team in the office.
The experience you’ll bring.
4 – 7 years of experience in a similar role including several years supporting senior executives.
Bachelor's Degree preferred.
Comfortable with constant change, including frequently shifting calendars.
Ability to manage competing priorities with grace, while displaying a professional demeanor. Demonstrates extreme flexibility and willingness to serve on call.
Well-developed social skills, intelligent, clear-thinking, resourceful.
Demonstrates expert ability to proactively prioritize, plan, schedule and organize multiple projects simultaneously.
Emotional maturity: respects others’ point of view and is in control of emotions. Skilled in conflict resolution.
Adept at using a variety of mobile communication devices including tablets. Highly proficient in the use of texting and instant messaging. Advanced knowledge and use of MS Office (Word, Excel and Outlook). Intermediate PowerPoint skills.
Demonstrates expert level understanding of correct grammar and is able to fluently convey complex issues in written correspondence.
High level of interpersonal skills and emotional intelligence.
Works across multiple US time zones - Eastern to Pacific.
Ad-Hoc projects as needed ie: equipment orders
Employs strict discretion in sensitive situations and exercises solid judgment.
Self-starter who listens well and is able to recognize and navigate the nuances of circumstances. Confidently moves forward in ambiguous situations and operates with minimal direction.
